GENERAL INFORMATION

The College of Europe Natolin Campus, with its registered office in Warsaw 02-797 at 84 Nowoursynowska Str (“We”, “us”, “our”, “College”) is committed to protect your privacy. This privacy notice explains why we collect personal data, which information we have access to, how we collect and disclose the data, and how we protect your data. We will use or process your personal data only in accordance with the GDPR.

1. Why do we collect personal data?

We collect the information, for example:

  • To organise events, conferences, courses ;
  • To send newsletters or promotional content in accordance with your marketing preferences ;
  • To implement tailor-made training courses ;
  • To provide, support and ameliorate the services we offer ;
  • To analyse web statistics and log files ;
  • To compute anonymous statistics ;
  • To prepare entrance permissions and access control.

2. What personal data do we collect and how ?

There are two general categories of information we collect and ask for :

2.1. Information you give us:

We will obtain personal information from you, for example, when you :

  • Subscribe to our e-newsletters
    We inform students and partners regularly by means of an e-newsletter about our educational offers. The personal data collected as part of a registration for the e-newsletter will only be used to send our e-newsletter.
  • Enquire about our activities and/or request customer support
    You can contact us directly by a general email address or via a contact form. Such personal data is transmitted on a voluntary basis and is stored for the purposes of processing or contacting the requester.

2.2 Information we collect automatically „COOKIES”:

We may automatically collect non-personal information to help administer, protect, and improve our services. This information may be collected through the use of cookies, as well as part of log files, analytics and web beacons. It may include your IP address, your operating system, your browser activity.

2.2.1. Information in forms

The Service collects information provided voluntarily by the user. The Service may also save the information about the parameters of the connection (time mark-up, IP address). Data provided by filling in the form are not made available to third parties without the explicit consent of the user.

The Operator may use the data provided in the forms to set a database (a register) of potential clients which is by law subject to registration with the Inspector General for Personal Data Protection.

The data provided in the forms are processed only for the purpose resulting from the function of a given form, for example in order to respond to a user’s request for information. The data provided in the form may be transferred to entities pursuing certain technical services (administrator of e-learning platform, information database system and expert forum, newsletter distribution), entities which provide the digital resources for the Service (content, databases, e-learning courses) or other entities, with which the Operator cooperates in the implementation of the E-Platform for Neighbourhood. No data will be made available to any third party for commercial purposes.

2.2.2. Information about the cookie files

The Service uses cookie files. Cookie files (so-called “cookies”) are computer data, in particular text files, that are stored on the Service user’s device and are intended for use by the websites of the Service. Cookies typically contain the name of the website they come from, the time of their storage on the user device and a unique number. The Operator stores cookies on the user’s device and has access to them. Cookies are used for the following purposes:

  • to produce statistics that help the Operator to understand how the Service users benefit from its websites in order to allow an improvement of their structure and content,
  • to maintain the Service user’s session (after logging in), so the user does not have to retype login and password on every website of the Service,
  • to determine the user’s profile to display personalized content including, where applicable, advertisements provided by advertising networks, especially Google.

Two basic types of cookies are used by the Service: session cookies and persistent cookies. Session cookies are temporary files that are stored on the user device until he/she logs off, leaves the website or closes the software used to browse the web (web browser). Persistent cookies are stored on the user device for the time specified in the cookie parameters or until the user deletes them.

The software used to browse the web (web browser) usually allows storage of cookies on the user device by default. The user may change these default settings. Web browsers also enable users to delete cookies or automatically block them. For details, see the help section or documentation of the web browser. Restrictions on the use of cookies may affect some of the functionalities available on the websites.

Cookies stored on the device of the Service user might also be used by the partners and advertisers cooperating with the Operator. Cookies might be used by advertising networks, in particular Google, to display ads tailored to the way the user utilises the Service. For this purpose, they might keep information about the user’s navigation path or the time the user remains on the particular web page.

2.2.3. Server logs

Information about some of the user behaviours are subject to log at the server layer. These data are used solely for administering of the Service and to ensure the most efficient use of hosting services provided for it. Browsed resources are identified by the URLs. Additionally, the following data may be collected:

  • time a request is received,
  • time a response to a request is sent,
  • name of the user device identified by the HTTP protocol,
  • information about errors that occurred in the realisation of the HTTP transaction,
  • URL of the web page previously visited by the user (referrer link) – in case the user came to the Service from the link on another web site,
  • information about the user’s browser,
  • user IP address information.

The above data are not associated with personal data of the Service user.

2.3. Links to third party websites :

Our website may provide links to third party websites and/or social widgets, as Twitter, Facebook, Instagram, LinkedIn, Flickr, Vimeo, Youtube. These websites may not have the same privacy policies as ours. We encourage you to review the privacy statements of any site you visit.

3. Who processes your personal data and to whom is it disclosed?

By default, your information is not shared with any other party.

We may disclose and share your personal information with our service providers, who are working with us to perform functions and process user data on our behalf.

We may also disclose your data to third parties when we are legally obliged to comply with statutory obligations, such as court orders or to cooperate with authorities as the police.

We will never sell your personal information.

4. How do we protect and safeguard your information?

All personal data collected are internally processed only by designated College staff members or agents and stored on servers which abide by the College’s security rules and standards and policies.

We take appropriate measures to ensure that the information disclosed to us is kept secure, accurate and up-to-date. We have implemented a number of solutions to ensure the security of your personal data. For example, we encrypt data, use firewalls (firewalls), monitor IT systems on an ongoing basis and follow security procedures. The Internet will never be a 100% safe place, but we do our best to ensure that your personal data is properly secured in our systems.

5. How long do we keep your data?

The College will keep your data only as long as necessary for the fulfilment of the institutional purposes mentioned above.  Personal data will be processed until the consent is withdrawn.

6. How can you verify, modify or delete your personal data?

You may ask us to provide you with an overview of your personal data held by us.

You may ask us to consult, rectify, restrict and/or delete your personal data.

You have the right to file a complaint with the Office for the Protection of Personal Data. Providing data is voluntary, but it determines the possibility of receiving information from us.
